Kalloch Family Reunion Meeting Minutes

Meeting called by Anita Fernald, President
The following people attended the 152nd Kalloch Family Reunion at the First
Universalist Church in Rockland, Maine:

Paul’s new address as of the end of August: 5 Oakdale St, Portland, ME 04103
Bev reminded those gathered that she is planning to create a Kalloch Family
Cookbook and will request contributions in the upcoming newsletter.
The newsletter regarding the 2019 reunion (including the registration form) was
problematic this year: there were computer issues and when the issues couldn’t
be resolved it a printing service was used instead. Also, the newsletter was
originally sent out in Google format which couldn’t be accessed by everyone.
Eleanor’s suggestion: next year’s reunion information and registration should be
put directly in the body of email-no attachments. This will alleviate the
problem of not having access to a particular format. However, the newsletter can
be attached. Folks have the option to receive the newsletters in the mail rather
than by email.
There was discussion about how secretarial duties would be divided up. No one at
the meeting wanted to take on the full responsibilities of the secretary.
New responsibilities are as follows:
Newsletter: Bev
Formatting newsletter: Ken
Mailing: Ken
John’s suggestion: snail mail preferable possibly for some folks?? We’ll try it
Peter’s suggestion: commemorative stamp attached to make the letters more
appealing and likely to be opened
Eleanor asked: who’s maintaining mailing list
Paul: one person should have administrative access to make changes; more folks
can have access but not admin. access
Peter: mentioned the importance of dating each document
Eleanor: Paul send excel file to her; she will make labels
John and Bev will print newsletter and stuff envelopes and place stamps on them
Paul will get current mailing list from Eileen
We should have ONE list for both mailing options; email addresses and snail mail
on same document
Obituaries suggestion: not putting full obituary in newsletter; maybe photo,
DOB, DOD
Also for newsletters: births, graduations, weddings
Ken: send Word document (newsletter)
Keep in mind about information for Facebook posts
Peter will get information from Ken to have opportunity to post information on
FB
Paul will help Bev put posts on FB
Paul’s treasurer’s report attached
Motion to increase website fund to $600.

Motion approved
Proposal: Paul suggested end of April first of May to be new fiscal year
Current end of fiscal year occurs shortly before annual meeting
Currently, expenditures and income for the annual meeting occur during the
change in FY
Change to April/May would align better with expenditures and income for annual
meeting
Peter made a motion to above suggestion
Margaret Carleton 501c3 set us up for this; does this change need an act of
congress?
M told Paul that this shouldn’t be a big deal; Paul will look into this more
closely
Pat seconded this motion

Ken’s information regarding the Kalloch Family Reunion Association genealogy
database attached
Eleanor: book promotions
Copies of The Ingraham Diaries: 1795-1875 by Eleanor Richardson and Peter
Richardson are available by contacting Eleanor (this also includes a searchable
CD)
Peter’s report as historian: (email sent to Peter asking for help in cleaning up
the section on this report)
Note on how reunions are different:
Ingraham’s reunion-3 groups that come to reunion; 2 groups include Kallochs;
reunion is ten years younger than Kallochs’
Kalloch reunion features -genealogy is a big deal; website great idea
(originally Peter’s suggestion); Ken’s willingness to learn and keep up with it
has been invaluable; 20th anniversary of our website!!
Ken adds: at reunion in 1876 (nine years after the first reunion) a decision was
made to set up committee to keep up with genealogy
Idea from Peter:
Newsletter to include historical sketch and importance of donations year round
Historian (Peter Richardson) asked to pass on his job, gradually to Co-Historian
(Paul Wilson). Peter will keep books, etc. for now until Paul has space at his
home.
Bev suggests looking for computer savvy individual through FB; Ken is concerned
about just passing this on to someone not involved in a meaningful way. Peter
suggests an apprentice position.
